A safety file should support readiness decisions before people, plant and materials arrive. It is not just a folder assembled for an inspection.
THE FIRE
Mobilisation exposes missing appointments, outdated risk assessments, incomplete competence records, absent permits and unclear emergency arrangements.
THE BLUEPRINT
1. Confirm the project scope, client requirements and current safety plan.
2. Verify appointments, competence records, inductions, risk assessments, work procedures, inspections and emergency contacts.
3. Give every outstanding item an owner, due date and closure evidence.
THE METRIC
Track open requirements, overdue items, items verified before mobilisation and repeat findings. Confirm project-specific legal and competent-person requirements before use.

Put this into practice
Ask the appointed reviewer to check the required document and record the evidence available for that review.
Document availability does not prove compliance or work readiness; keep the review outcome tied to its defined scope.
Begin with one example using Project, Document, Revision, Review due, Reviewer. Give the record a stable identifier and connect any unresolved issue to an owner and next action. Ask the receiving reviewer to explain the decision the record supports before expanding the process.
