The Dispatch Board: The Minimum Data Needed to Control Today’s Movements

October 31, 2026 by
The Operator
A dispatch board should show more than where vehicles are. It should show whether each movement is ready, owned and tied to a delivery commitment.

THE FIRE

A vehicle can be available but still unable to move because the load, driver, access route or release decision is not ready.

THE BLUEPRINT

1. Record vehicle, driver, load, origin, destination and planned time.
2. Add readiness status and the person who can release the movement.
3. Record actual departure, arrival, exception and next action.

THE METRIC

Track on-time departures, waiting time, repeat movements and delivery exceptions.

Put this into practice

Ask dispatch to record the actual departure when movement occurs and identify any decision needed while waiting.

Compare timestamps on the same date and timezone, especially for departures crossing midnight.

Begin with one example using Vehicle ID, Journey ID, Planned departure, Actual departure, Delay reason. Give the record a stable identifier and connect any unresolved issue to an owner and next action. Ask the receiving reviewer to explain the decision the record supports before expanding the process.

Open the Departure tracker template and its review guidance.
