Competence Records: The Control Point Many Sites Discover Too Late

Competence records are not administrative decoration. They support the decision that a person is suitably trained, authorised and current for the work assigned.

THE FIRE

A team can be operationally ready in every other respect and still be blocked by an expired or missing record.

THE BLUEPRINT

1. List the role, required competence, evidence and expiry or review date.
2. Assign one owner for verification and one escalation route for gaps.
3. Review upcoming expiries before they affect mobilisation or a workfront.

THE METRIC

Track current records, records due soon, missing evidence and time to close a gap. Apply the relevant client and legal requirements for the work.

Put this into practice

Have the records custodian index the relevant training evidence for the appropriate reviewer.

Attendance evidence and verified competence answer different questions; retain the reviewer and follow-up rather than inferring approval.

Begin with one example using Role reference, Training topic, Record reference, Reviewer, Follow-up. Give the record a stable identifier and connect any unresolved issue to an owner and next action. Ask the receiving reviewer to explain the decision the record supports before expanding the process.

Open the Training record index template and its review guidance.
